If you've ever worked an expo stand, you know how it goes. Hours of smiling at people as they walk straight past, a pile of brochures that barely shrinks, and maybe a handful of decent conversations if you're lucky.

That wasn't our experience at Sydney Build Expo 2026.

In late April we set up a full enclosure golf simulator on a client's stand at ICC Sydney for the two days of the expo. By the end of it, we'd helped pull in over 600 participants and hundreds of qualified leads, and the stand was the busiest on the floor by a long way. Here's how it came together, what the numbers looked like and what we learned along the way.

The Brief: Turn Foot Traffic Into Real Leads

Our client, a national fleet and finance provider, came to us with a clear goal. They didn't just want people to stop at the stand. They wanted names, contact details and a genuine sense of who was interested in their services.

Sydney Build is one of the biggest construction and design events in the country. The halls are packed with builders, developers, architects, trades and corporate buyers, and every exhibitor is fighting for the same attention. A simulator gave us something most stands couldn't offer: a reason for people to stop, have a go and hang around.

The Setup

We brought in a 3m x 2.6m x 1.5m Golf Simulator, powered from the stand, with real clubs for players to use. One of our team was on hand across both days to run the sim, keep things safe and keep the queue moving.

The hook was simple. A Closest to the Pin competition with a prize up for grabs. To enter, players filled in a short lead capture form, then stepped up and took their shot. It's an easy sell. Most people think they can land one close, and plenty who've never swung a club still want to give it a crack.

The Results

The numbers speak for themselves.

  • 600+ total participants across the two days

  • 281 unique leads captured through our form

  • Roughly the same again captured through the official expo app by the client's team

  • 273 competition entries for Closest to the Pin

  • Queues of up to seven people at a time, for most of both days

  • Zero technical issues with the simulator from start to finish

Close to a third of the leads from our form flagged a specific product or service they wanted to hear more about. That's a warm pipeline of people who put their hand up, not just a stack of email addresses.

Why It Was the Busiest Stand at the Expo

We'd love to say it was all down to our charm, but the truth is a golf simulator just works in an expo setting. A few reasons why:

It's visual. People could see the ball flight on screen from across the hall. Nothing draws a crowd like a crowd, and once a queue started forming, others wanted to know what the fuss was about.

It's competitive. A Closest to the Pin leaderboard gets people talking. Mates would dare each other to have a go, and people came back later in the day to see if their shot was still holding up.

It creates dwell time. Someone waiting in line for five minutes is someone the client's team can chat to. Those conversations are where the real value sits, and the sim gave the sales team a steady stream of people to talk with.

It appeals to everyone. We saw builders, developers, senior decision makers and uni students all lining up. You don't need to be a golfer to enjoy it.

Lead Capture: What Worked and What We'd Change

No event runs perfectly, and we think it's worth being upfront about the challenges because anyone planning an expo will run into the same ones.

Mobile data was a real problem

With thousands of people inside ICC Sydney, mobile coverage was heavily congested. A fair few attendees struggled to submit the form on their phones. The client's team did a great job switching over to the official expo app to scan badges where our form wasn't getting through, which is how the total climbed past 600. Without that backup, a big chunk of those leads would have walked out the door.

Shorter forms win

We got direct feedback on the day that the form felt a bit long, and some people dropped off before finishing. For future activations, we recommend keeping it to the basics: name, company, email, phone, one qualifying question and privacy consent. Anything more detailed can be covered on the follow up call.

Offline capture is a must for big venues

Our biggest takeaway is to never rely on live data at a large expo. An offline capable form that syncs once connectivity comes back means no lead gets lost, no matter how packed the venue is.

Tips for Your Next Expo Activation

If you're planning a stand for Sydney Build or any other trade show, here's what we'd pass on:

  1. Give people a reason to stop. An interactive activity will outperform a banner and a bowl of lollies every time.

  2. Tie the activity to lead capture. Make the form the entry ticket to the fun part.

  3. Add a prize and a leaderboard. A bit of friendly competition keeps people coming back.

  4. Plan for bad reception. Have an offline option or a second capture method ready.

  5. Keep your form short. Every extra field costs you leads.

  6. Staff it properly. Someone running the activity frees up your team to have the conversations that matter.
